The Need2No Ark filing system

Two overriding principles apply here. (1) Though common in real file identifiers, the forward slash cannot be used in digital file identifiers. It is therefore replaced throughout our digital ark with the hyphen. Thus the TNA record HS 8/422 becomes TNA-HS-8-422. (2) All file identifiers (except "X" files) are preceded by an appropriate project abbreviation, for example D3- for Dress, Disguise, and Deception, and SW- for Spy Wives.

Files from external archives

Files originating from public archives are designated by their original file identifiers prefixed with the project abbreviation and appropriate organisational acronym. No further identification is necessary. For example: the Kew file HS 8/422 becomes D3-TNA-HS-8-422. The College Park file Record Group 263/Entry ZZ17/Box 2 becomes D3-NARA-RG263-EZZ17-B2.

ARK files

To enable systematic, centralised digital storage of all other disparate sources, a simple method is applied using file identifier components, separated by hyphens and underscores, as follows:

Project abbreviation: Examples D3, SW, SH, SJ, VV, NASIH (to distinguish material related to each project from other projects).

Prefix: ARK (to distinguish internal ARK files from public records).

File number: ARK files are numbered sequentially from 001 to ∞. While other components may be amended if necessary, file numbers are static and may not be changed or reissued.

File name: In the case of published books and articles, just the author's name.

File extension: The file extension (for example: .pdf, .mp3, .mp4, .jpg) of every file is always indicated.

Examples: D3-ARK-043_Secret_Agent_Selection_s01e01.mp4 or ARK-003_shahan.pdf.

In the General Catalogue (non-project-specific materials), external archives of origin are indicated with an "X" suffix (e.g. NARAX and TNAX). These files have no project abbreviation.

ARK file-identifiers are strictly for internal use. Unlike external file identifiers, they are not to be shown in published endnotes or bibliographies.
